P/T Admin/Virtual Assistant – Growth Opportunity (novato)

This is a Part-time Contractual position. Admin/Virtual Assistant needed for veteran real estate/mortgage broker located in Novato - approx 10 hours per week (2-3 days per week). Could turn in to full-time eventually.

Must be very organized, reliable, self-motivated and able to work independently. Must be a good communicator and have excellent people skills. Must be proficient in current versions of: MS Office, including Word, Excel and Outlook. Must know how to import/export database to/from Outlook Business Contact. Position includes keeping database updated; create mailing labels; mail merge; prepare pdf docs (some graphic experience could be helpful). Must be competent with Internet research and mobile communications (PDA).

Responsibilities:
o Maintain office document (paper files and electronic files) – mail, sort and file, scan paper files to server, open mail, bill pay (bookkeeper prepares checks and does Quickbooks entries), general filing and systems management, contact management, office supplies and equipment, some invoicing, deliveries, some errands.
o Client project assistance - includes database entry and management, mailings, email blasts, follow-up phone calls/emails, scheduling
o Possible training provided on Real Estate transaction coordinating and loan processing, depending on your background and interests.
o Leads and Referrals may be provided in exchange for some of the administrative duties.
o May be requested to hold open houses and be willing to work with Buyers.

o Interest in real estate industry and/or sales and marketing a plus
o Real estate license a huge plus!
o Bilingual in Spanish a plus!

Specific skills I seek:
o Must be very PC savvy
o PDA and cell savvy
o Must have database management experience and/or be proficient in Outlook
o Topnotch communication skills - typing, writing, spelling
o Some research and/or editing experience a plus

o Small real estate, mortgage and investment firm in Novato with long term clients. Transactions primarily consist of residential home sales and residential mortgages
o Informal, creative, fast-paced and fun work environment

Compensation: Contract rate per hour – hours and location negotiable. Pay rate based on experience and skill set starting at $10-15/hr.
